What’s new in Dynamics GP 18.5 Update in October 2022?

Microsoft Dynamics GP is a reliable and independent enterprise resource planning (ERP) solution that encompasses all the essentials for managing your business operations. For those using the Modern Lifecycle of Dynamics GP, the October 2022 launch introduced version 18.5 of Dynamics GP. This blog will highlight the important feature enhancements introduced in the October 2022 GP release.

Print 1099-NEC Forms with Lines

Starting from the October 2022 update, users can print a 1099 Nonemployee Compensation (NEC) form with distinct boxes and lines on blank paper. This functionality mirrors how you print payroll W-2s, providing a convenient method for accurately printing the document and confirming 1099-NEC details.

To print the 1099-NEC form complete with boxes and lines, follow these steps:

  1. Navigate to Purchasing >> Routines >> Print 1099
  2. Enter the current year in the 1099 Year field
  3. Under Form Type, select One Wide with Box
  4. Fill in the remaining details in this window and then choose Print Forms File.

Print and E-mail Cash Receipts

An eagerly anticipated addition, Dynamics GP users can now print their customer’s cash receipts and even send them an e-mail copy of their payment. This update brings a fresh report that empowers users to print or e-mail their customer’s cash receipts. Activating this feature is simple; follow the steps below:

  1. Head to the Sales Area page.
  2. Under setup, opt for E-mail Settings.
  3. You’ll find a new choice for Cash Receipt in the Sales E-mail Setup window.
  4. Choose Customer Setup to launch the Customers Navigation List, which will perform a mass update of your customers for this feature.

Deactivate Vendor Address Records

This improvement is significant, as dispatching documents to an incorrect address can have damaging consequences. Address codes serve various purposes like payments, shipping, and 1099 forms. Therefore, the ability to deactivate a vendor address presents several advantages. Once an address is deactivated, users will receive a notification indicating its inactive status when they try to employ it. At that point, the user can proceed with the deactivated address or opt for an alternative one.

Simultaneous Printing and E-mailing of POP Documents

A convenient update now allows users to print and e-mail Purchase Order Processing Documents at once seamlessly. Previously, users were required to print a document or a range of documents. Once the printing function was completed, they had to re-enter the system to select the same documents for e-mailing. Thanks to the Dynamics GP October 2022 release, users can save time by printing and e-mailing purchase orders in a single streamlined process.

Enhanced Summary View for EFT Bank Reconciliation

Dynamics GP introduces time-saving enhancements for bank reconciliation involving electronic fund transfers (EFT) payments. A notable update allows users to view an EFT batch summary directly within bank reconciliations, eliminating the need to analyze individual payments. This consolidated approach offers a streamlined overview. Users can conveniently access the EFT batch summary to inspect individual payments if they wish to delve deeper.

Updates to Workflow Functionality

Dynamics GP’s latest release introduces a variety of enhancements to its workflow capabilities. New features incorporated in this release include:

  1. Streamlined End-to-End Process with Auto Post Workflow: Building on the feature introduced in version 18.4, Microsoft has strengthened Workflow Automation for Workflow Batches. In this release, the Workflow Maintenance window can automatically post approved workflows for payables batches, general ledger batches, and receivables management batches. Previously, this capability was limited to approving workflow tasks within the Dynamics GP client.
  2. Enhanced History Handling for “No Approval Needed” Steps: A new feature enables users to exclude “No Approval Needed” steps from being stored in history. Users can toggle this setting on a per-workflow basis, determining whether to record and display steps that do not necessitate approval.

These workflow updates empower Dynamics GP users with more efficient and tailored ways to manage their processes.

Improved Scheduling for Check Links

Dynamics GP introduces a valuable enhancement that enables scheduling of Check Links operations during off-peak hours or overnight. Unlike the previous setup, where Check Links were run upon selection, this new functionality empowers users to set a specific start time for running reports and tasks.
